The basics

What is RFID for tracking, and why does it beat barcodes?

RFID for tracking is the use of radio-frequency identification tags, readers and antennas to identify and locate physical items automatically, without line of sight. Tags fixed to assets, stock or equipment are read in bulk as they pass a reader, creating a live, timestamped record of what you have and where it is.

When a tag passes a reader it identifies itself over the air — no line of sight, no scanning gun pointed at a label, no human in the loop.

That single difference changes everything operationally. A barcode needs one item, one scan, one person. RFID reads hundreds of items per second through boxes, crates and pallet wrap. A stock count that took a team a full weekend takes one person an hour.

Because reads happen automatically, RFID tracking produces a continuous, timestamped record of where everything is and where it has been — which is the real prize. You stop guessing about shrinkage, misplaced tooling, unreturned equipment and stock accuracy, and start working from live data.

A note on the last two rows. Active/BLE and LoRaWAN are not RFID. They are battery-powered wireless technologies we supply alongside RFID for tracking, and the economics differ sharply: a passive UHF tag's cost is negligible by comparison, it has no battery and is read when it passes a reader, whereas a LoRaWAN tracker costs significantly more, runs 5–10 years on its own battery and reports its position across kilometres without any fixed infrastructure nearby. Most sites we design use passive RFID indoors and LoRaWAN for whatever leaves the gate.

Challenge
Every turnaround began with a manual hunt. Relief valves, spades, spool pieces and portable gas detectors were logged on spreadsheets that drifted out of date the moment equipment moved between units. Locating and verifying the full safety-critical asset list took a team fourteen days, and a portion of pressure-relief valves could not be accounted for at all — each one a potential compliance hold on start-up.
Solution
IECEx and ATEX-certified on-metal UHF tags were applied to all 8,400 items, encoded to the client's existing asset numbering. Fixed read points were installed at the workshop, the valve shop and each unit boundary, with intrinsically safe handhelds issued to inspection teams for Geiger-mode search. Read events were pushed into the existing maintenance system by API, so inspection due-dates and last-known location sat on the same record engineers already used.
Result
Asset verification fell from fourteen days to three, taking roughly two days off the critical path of the turnaround itself. Unaccounted relief valves dropped to a fraction of a percent, and inspection compliance moved close to total — removing the documentation scramble that previously preceded every start-up.

Challenge
Goods-in was the bottleneck. Every inbound trailer was unloaded, broken down and hand-scanned pallet by pallet, which pushed unloading past forty minutes and created a queue that rippled into outbound. Stock accuracy sat in the low eighties, so pickers routinely walked to locations that were already empty. Separately, the client was writing off thousands of returnable cages a year with no visibility of which customer still held them.
Solution
UHF portals were fitted to every dock door across the four sites, with an RF survey setting antenna angle and power per door to stop cross-reads between adjacent bays. Pallets and returnable cages were tagged, and middleware resolved direction of travel so an inbound read could never be mistaken for a dispatch. Events fed the existing warehouse management system by REST API, and cage movements were attributed to the receiving customer automatically.
Result
Trailers now clear goods-in in about a quarter of the time, with verification happening as the load moves rather than as a separate step. Stock accuracy rose into the high nineties, dispatch errors fell by an order of magnitude, and annual cage losses dropped by roughly eighty-five percent once customers could be shown exactly what they were holding.

Challenge
Instrument sets circulated between theatres, the sterile services department and external decontamination with no reliable record of where any individual tray sat in the loop. Reconciling a set against its checklist took the best part of forty minutes, incomplete sets were being discovered at the point of use, and a small number of procedures each month were cancelled or delayed outright because a tray could not be found in time.
Solution
Autoclavable HF tags rated for repeated steam sterilisation were fitted to every tray and to high-value individual instruments. Read points were placed at theatre entry, the sterile services wash line and the despatch bay, giving each set a timestamped position in the decontamination loop. The tracking portal flagged any set that missed a stage, and tray contents were validated by read rather than by eye.
Result
Reconciliation dropped to a few minutes per set, incomplete sets at the point of use fell to a fraction of a percent, and across the six months following go-live the trust recorded no procedures cancelled for missing instruments — alongside a full audit trail for every tray used in every case.

FAQ

RFID for tracking — common questions

Straight answers to what buyers actually ask us before committing to an RFID tracking project.

RFID for tracking is used wherever you need to know what you have and where it is without someone manually checking. The most common applications are fixed asset registers, warehouse and retail inventory, tool and equipment control, returnable transit items such as pallets and cages, vehicle access at gates and weighbridges, and personnel muster reporting on hazardous sites. Any operation that currently relies on spreadsheets, clipboards or barcode scanning is a candidate for RFID tracking.

It depends entirely on the frequency band and the environment. Passive UHF (RAIN) tags — the standard choice for RFID tracking in warehousing and asset management — typically read from 3 to 12 metres. HF and NFC tags read under a metre. Active and BLE tags can be detected at 100 metres or more.

Real-world range is always shorter than the datasheet figure. Metal, liquid, dense packaging and nearby RF noise all reduce it, which is exactly why we run a site survey before specifying anything.

For most tracking applications, yes — but not for every one. RFID needs no line of sight, reads hundreds of items at once, carries a unique serial per item rather than per SKU, and survives conditions that destroy a printed label. That makes it dramatically faster for stock takes, audits and hands-free movement logging.

Barcodes still win on unit cost when you are labelling millions of low-value disposable items. In practice many of our clients run both: barcodes at the consumable level, RFID tracking for anything serialised, returnable or valuable.

Cost is driven by three things: how many items you tag, the type of tag those items need, and how many read points you require. Basic UHF labels are a few pence each in volume; rugged on-metal tags run to several pounds each. A single handheld reader can start a small asset-tracking programme, while a multi-door portal installation is a larger capital item.

We quote every project individually after the discovery call, and we will tell you honestly if RFID for tracking is not the right answer for your use case.

Yes, with the correct tag. Metal reflects RF and liquid absorbs it, so a standard paper label will fail on both. On-metal tags use a built-in spacer and ground plane that turn the metal surface into part of the antenna, and specialist tag designs handle liquid-filled containers.

This is the single most common reason DIY RFID projects fail, and the single easiest problem to avoid by testing on your actual materials first.

Yes. Our middleware converts raw reads into clean business events and delivers them over a REST API, webhooks, database writes or flat-file exchange — whichever your system supports. We have integrated RFID tracking data with SAP, Microsoft Dynamics, NetSuite, Odoo and a long list of bespoke in-house systems.

If you have no system to integrate with, our own tracking portal works standalone.

We do — it is central to how we work. We ship RFID for tracking hardware to over 40 countries and handle the region-specific detail that catches people out: UHF frequency allocation and permitted power differ between ETSI, FCC, Japan, Korea, China and ANZ regions, so hardware bought for one market may be non-compliant or simply underperform in another.

A handheld-based asset tracking programme can be live within two to four weeks of the initial call. A fixed-portal installation with ERP integration typically runs eight to sixteen weeks from survey to go-live, with a pilot phase in the middle to validate read rates before full rollout.

The variable is rarely the technology — it is how quickly tags can be physically applied to existing stock and assets.
